# Facilities Can’t Optimize What They Can’t See: Why Continuous Workplace Data Matters

[Campus Planning](https://blog.innerspace.io/topic/campus-planning)

**How Facilities Leaders Can Use Portfolio-wide Utilization Data To Reduce Operating Costs, Improve Service Delivery and Make Buildings Work Harder**

Facilities leaders are being asked to do more with less. They are being asked to manage increasingly complex portfolios, control operating costs, improve energy efficiency, maintain service levels, support employee experience, and respond to fluctuating workplace demand. They are also asked to do all of it without compromising the reliability of the buildings employees depend on.

The challenge is that many facilities decisions are still based on what a building could accommodate, rather than how it is actually being used.

→A floor designed for 500 people may regularly have 150.

→A meeting area that appears quiet on Monday may reach capacity Wednesday afternoon.

→One building may experience concentrated demand between 10 a.m. and 3 p.m., while another sees activity spread throughout the day.

→Yet cleaning, maintenance and other building services can continue to operate according to fixed schedules.

For facilities leaders managing millions of square feet, closing that gap between building operations and actual demand represents a significant opportunity.

**Your Operating Model Should Understand Your Operating Reality**

Facilities teams already track extensive data: maintenance requests, energy consumption, work orders, equipment performance, service costs and building condition.

What can be harder to understand is the human side of the equation:

- How many people are actually using the building?
- When are they there?
- Which floors and spaces experience the most demand?
- How long does that demand last?
- And how is it changing?

InnerSpace uses existing enterprise Wi-Fi to capture workplace utilization data across a portfolio without requiring dedicated occupancy sensors throughout every building. That creates a historical utilization baseline that facilities leaders can use alongside their existing operational data. The important point isn't simply collecting more data. It's creating the ability to understand demand over time.

Because data that isn't captured today can't be recreated six months from now.

**Cleaning: Move From Schedules Toward Demand**

Cleaning is an obvious example. Consider a 20-floor office building where every floor receives approximately the same cleaning schedule five nights a week. Utilization data might reveal that floors 4 through 8 consistently experience high demand, while several other floors operate at a fraction of their intended capacity. Friday demand may be dramatically lower across the entire building. That doesn't automatically mean cleaning should be reduced. It means facilities leaders have better evidence to ask whether every floor needs exactly the same service frequency regardless of use.

Historical utilization can help teams identify sustained patterns rather than reacting to a single quiet week. Combined with cleaning standards and operational requirements, that information can support conversations about service frequency, staffing and vendor contracts. Across a large portfolio, relatively small adjustments can become meaningful OPEX opportunities.

In one InnerSpace enterprise analysis, occupancy-based cleaning represented approximately $600,000 in identified annual opportunity. It was a modeled opportunity, not realized savings, but it demonstrated how workplace utilization data could be used to evaluate a major operating expense.

**HVAC: Understand When and Where Demand Actually Occurs**

Energy presents a similar challenge. Facilities teams need to maintain safe and comfortable environments, but workplace demand has become increasingly variable. Hybrid work can create significant differences between Tuesday afternoon and Friday morning or between two floors in the same building. Utilization history gives Facilities another input for understanding those patterns.

Imagine an enterprise campus where three buildings have similar capacity. Historical data shows one regularly experiences strong Tuesday-through-Thursday demand, another has relatively consistent but moderate utilization throughout the week, and the third remains lightly used except for periodic team events. Treating those buildings as though they have identical occupancy patterns misses potentially valuable information.

Utilization intelligence can help Facilities evaluate opportunities to align HVAC schedules more closely with actual demand, alongside building-management-system data, environmental requirements and operational constraints.

In the same enterprise analysis, occupancy-informed HVAC scheduling represented approximately $360,000 in modeled annual opportunity. The important lesson isn't the specific dollar figure. Every building and portfolio will be different. It's that space-utilization data can become an operational input rather than simply a CRE metric.

**Service The Places People Actually Use**

The same principle can extend to washrooms, common areas, food services and other shared amenities. Consider two washroom banks on different floors. One serves a heavily utilized neighborhood with significant daily traffic. Another is located on a floor that experiences substantially lower demand. A fixed servicing schedule treats them equally.

Utilization patterns can help facilities teams understand where demand is likely to be concentrated and investigate whether services should be adjusted accordingly. For the enterprise portfolio referenced above, occupancy-informed washroom servicing represented another approximately $150,000 in modeled opportunity.

Together, cleaning, HVAC and washroom servicing represented approximately $1.1 million in potential annual Facilities opportunities identified through the analysis. Again, these weren't audited savings. They were opportunities identified by connecting workplace demand to operational cost categories.

**Know What Happens On Peak Days, Not Just Average Days**

Cost reduction isn't Facilities' only KPI. Overall building performance is a very important metric.

That's why averages can be dangerous. A building averaging 45% utilization doesn't necessarily have 55% excess capacity every day. Perhaps Wednesday consistently reaches 75%. Certain floors may approach capacity. Meeting rooms may become heavily constrained between 10 a.m. and 2 p.m. Entrances, elevators or amenities may experience concentrated demand.

Facilities leaders need both sides of the picture:

Where are we over-servicing low-demand environments—and where do peak conditions require more support?

That can influence staffing, cleaning, maintenance windows, food service, security coordination, room readiness and other operational decisions. Optimization should not mean indiscriminately reducing services, but rather it should mean better matching resources to demand.

**Build The Historical Baseline Before You Need It**

This becomes particularly powerful at portfolio scale. A facilities leader overseeing 50 or 100 buildings doesn't necessarily need the same level of analysis from every location every day.

InnerSpace allows organizations to capture utilization data broadly across the portfolio and then determine how it is processed. Strategic campuses, headquarters or buildings undergoing significant change can be [***Always On***,](https://innerspace.io/pricing?_gl=1*1yfg4n5*_gcl_au*MTYxNDk4NDAzLjE3ODc3NTc4NjE.) providing continuous processing, reporting, benchmarking and trend visibility. Other locations can be analyzed [***On Demand***](https://innerspace.io/pricing?_gl=1*1yfg4n5*_gcl_au*MTYxNDk4NDAzLjE3ODc3NTc4NjE.) when a particular question emerges.

Suppose six months from now Finance asks Facilities to identify a 10% operating-cost reduction.

→Or CRE proposes consolidating two offices.

→Or a building is scheduled for a major renovation.

→Or a facilities contract is approaching renewal.

With historical data already captured, Facilities doesn't have to begin by asking, "how are these buildings being used today?" The team can investigate how they've been used over time. That marks a very different starting point - rather than starting from scratch, facilities leaders start with historical data and a benchmark for measurement moving forward.

**Measure Whether Operational Changes Actually Worked**

Historical data also creates an opportunity to improve how Facilities measures its own decisions. Suppose a team changes cleaning schedules based on observed demand. The process shouldn't end there.

Establish the baseline. Make the change. Measure again.

- Did service levels remain acceptable?
- Did utilization patterns change?
- Did employees simply shift activity elsewhere?
- Did the expected efficiency materialize?

The same approach can be applied to consolidation, amenity changes, renovations and operational pilots. Instead of treating workplace data as a one-time study, Facilities can create a continuous improvement loop:

**From Building Operations To Portfolio Intelligence**

The biggest opportunity may be what happens when utilization becomes a shared source of evidence across Facilities, CRE, Workplace and Finance. CRE can use the data to evaluate footprint and capacity, workplace teams can understand how environments are being used, finance can evaluate costs and investment and facilities can determine how building operations align with actual demand. Everyone is looking at the same underlying reality from a different business perspective.

For senior facilities leaders, that's the real value of capturing utilization data broadly across the portfolio. It's not about another dashboard, but rather having a historical record of when, where and how buildings are being used so operating decisions can increasingly reflect actual demand. The most important question isn't what your utilization data could tell you today, but six months from now, when you're asked to find the next operating efficiency, benchmark a building, evaluate a service contract or support a major portfolio decision. Will you be prepared with the full view of historical data you need to answer the question? If that data isn't being captured today, there is no way to go back and collect it tomorrow.

It starts with better utilization data.
