# When Your Next CRE Question Comes, Will You Have the Historical Data Needed to Answer It?

[Commercial Real Estate](https://blog.innerspace.io/topic/commercial-real-estate), [Corporate Real Estate](https://blog.innerspace.io/topic/corporate-real-estate)

***Why Portfolio-wide Workplace Data Is Becoming Essential to Utilization, Cost, Capital and Portfolio Performance***

Corporate real estate leaders are being asked to do something increasingly difficult: reduce costs while making workplaces perform better. They must optimize their portfolios, improve utilization, reduce occupancy costs, make smarter lease decisions, prioritize capital, support changing workforce needs, and demonstrate that workplace investments are actually delivering value.

Each of these priorities depends on data. Unfortunately, there is a fundamental problem with the way CRE has traditionally gathered workplace data. Organizations often start collecting utilization data only after a decision needs to be made.

→A lease is approaching renewal, so a utilization study begins.

→A consolidation is proposed, so occupancy is measured.

→A redesign is planned, so teams establish a baseline.

By then, an important part of the story may already be missing. You can certainly analyze historical data later, but you cannot recreate data you never captured.

That is the thinking behind InnerSpace's portfolio-wide data model: capture workplace utilization data broadly across your portfolio using existing enterprise Wi-Fi, creating a historical foundation that is available when CRE decisions arise. Then determine how intensively you need to use it - ***Always On*** for continuous intelligence in strategic locations or ***On Demand*** when a specific business question emerges. For CRE leaders, that flexibility changes what workplace data can do.

**Start With The KPIs CRE Is Already Accountable For**

Most CRE organizations aren't looking for more dashboards, they're trying to improve a relatively familiar set of business outcomes:

- ***Portfolio utilization*** - Are we getting enough value from the space we're paying for?
- ***Occupancy cost*** - Where can we reduce real estate and operating expense without creating unacceptable capacity risk?
- ***Space efficiency*** - Do we have the right amount—and the right types—of space?
- ***Capital effectiveness*** - Are renovations, restacks and workplace investments producing the intended result?
- ***Lease performance*** - Should we renew, reduce, consolidate, relocate or exit?
- ***Portfolio agility*** - How quickly can we respond when workforce or business

requirements change?

The challenge is that none of these KPIs is truly static. A building with low average utilization may experience significant peak-day pressure, two similarly sized offices can behave very differently, and a space that appears underutilized today may become strategically important after a consolidation. That makes historical context increasingly valuable.

**Utilization: Move Beyond The Average**

Imagine a CRE team evaluating three buildings in the same market for consolidation.

Let’s examine the data below. At first glance, Building A looks like the obvious opportunity, but historical data reveals something else.

![Blog Graphic - CRE Sponsored Post](https://blog.innerspace.io/hs-fs/hubfs/Blog%20Graphic%20-%20CRE%20Sponsored%20Post.png?width=763&height=229&name=Blog%20Graphic%20-%20CRE%20Sponsored%20Post.png)

Based on the full picture, which layers historical data over the utilization rate, the CRE question is no longer simply, "which building has the lowest utilization?", it becomes “where does usable capacity actually exist, and how much of it could we recover without negatively affecting the business?”. That's a much better basis for a consolidation decision.

**Lease Decisions: Don't Start Measuring When The Clock Starts Ticking**

Lease events are another obvious example. Suppose a 200,000-square-foot lease expires in 18 months and senior leadership wants to know whether to renew the entire footprint, reduce it or absorb employees elsewhere. If utilization measurement begins at month 18, CRE has a snapshot. If data has already been captured, the team can examine seasonality, peaks, sustained demand, changes in workforce behavior and trends over time. That can materially change the quality of the decision.

This is where ***On Demand*** becomes particularly useful. Not every building needs continuous dashboards and analysis, but if utilization data has been captured, a location can be analyzed when a lease event or other decision makes it strategically important. Think of it as creating a CRE evidence reserve before you know exactly when you'll need it.

**Capital: Measure What Happened After The money was spent**

CRE leaders are also under increasing pressure to demonstrate the impact of workplace investment. Consider a $10 million redesign intended to improve collaboration and increase office use. Traditionally, organizations spend considerable effort establishing the business case and designing the new environment. Once construction is complete, however, measurement can become much less rigorous.

Portfolio-wide historical data creates another possibility:

![Blog Graphic - CRE Sponsored Post (1)](https://blog.innerspace.io/hs-fs/hubfs/Blog%20Graphic%20-%20CRE%20Sponsored%20Post%20(1).png?width=777&height=233&name=Blog%20Graphic%20-%20CRE%20Sponsored%20Post%20(1).png)

→Did utilization increase?

→Are employees actually using the collaboration environments that were added?

→Did demand shift away from spaces that were removed?

→Did dwell patterns change?

→Did the investment solve the problem it was intended to solve?

For strategic headquarters, major campuses or locations undergoing significant transformation, ***Always On*** intelligence provides CRE teams with continuous visibility into these changes rather than another isolated before-and-after study. That turns utilization from a planning input into a capital-performance KPI.

**Space Efficiency: Understand What You Need, Not Just How Much**

There is another important distinction for CRE. Reducing square footage isn't necessarily the same as improving space efficiency. A floor can have plenty of theoretical capacity while still performing poorly because it has the wrong mix of spaces. Perhaps enclosed focus rooms are consistently underused while open collaboration areas experience heavy demand. Or a team assigned substantial space rarely uses it while an adjacent business unit experiences recurring peak-day pressure.

![Blog Graphic - CRE Sponsored Post (3)](https://blog.innerspace.io/hs-fs/hubfs/Blog%20Graphic%20-%20CRE%20Sponsored%20Post%20(3).png?width=757&height=227&name=Blog%20Graphic%20-%20CRE%20Sponsored%20Post%20(3).png)

That distinction can inform programming, restacks, departmental allocations and future design standards across the portfolio.

**Portfolio Agility: Have The Evidence Before The Question Arrives**

Perhaps the biggest benefit which is harder to put on a conventional CRE scorecard is decision readiness. CRE teams rarely know today every question the business will ask next year. Next year may bring an acquisition, a restructuring, a new hybrid policy, an unexpected cost-reduction target, a lease opportunity or a request to accommodate another 500 employees without taking additional space. The organizations best positioned to respond won't necessarily be those with the most data but rather, they'll be the ones with the right historical evidence already available.

That's why a portfolio doesn't need to be one-size-fits-all. A 100-building enterprise might keep its 15 most strategic locations ***Always On***, continuously monitoring performance and change. while locations can become ***On Demand*** when a lease, consolidation, redesign or business event creates a reason to investigate. The underlying data foundation gives CRE the flexibility to change the question without having to start the measurement process from zero.

**From Periodic Studies To A CRE Management Capability**

This is ultimately the larger opportunity. Workplace utilization data has traditionally been treated as something CRE collects for a project. In reality, the KPIs CRE leaders are accountable for, such as utilization, occupancy cost, capital performance, space efficiency and portfolio agility, aren't projects, but continuous management responsibilities. The data strategy supporting them should reflect that.

Capturing utilization broadly creates the baseline. ***Always On*** provides continuous intelligence where the business needs it, while ***On Demand*** provides flexibility where questions arise less frequently. The result isn't simply more workplace data but the ability to ask better questions, test assumptions against historical evidence and make major CRE decisions All without repeatedly starting from scratch.

If your CEO or CFO asked tomorrow where your portfolio could reduce cost, recover capacity or avoid its next major capital investment, how much evidence would you already have? If the answer is less than you'd like, that's the conversation worth having.

Reach out today to learn more about what a portfolio-wide workplace data strategy could look like for your CRE organization and where ***Always On*** and ***On Demand*** intelligence could support the decisions already on your roadmap.
